Referral Information for Healthcare & Community Providers
Waterloo Psychology Group (WPG) welcomes referrals from physicians, nurse practitioners, pediatricians, psychiatrists, schools, occupational therapists, speech-language pathologists, lawyers, case managers, and other healthcare/community professionals. All of our clinicians are registered with the College of Psychologists of Ontario.
We provide evidence-based psychological and neuropsychological services for children, adolescents, and adults in Waterloo Region (and virtually Ontario-wide). Our team offers both therapy and assessment services, and we work to match each referral to the clinician and service that best fits the patient’s needs.
Please note: Patients may also self-refer for many services. A referral is not required to initiate care at our clinic in most cases.
How to Refer a Patient/Client
Helpful Information to Include With Your Referral
To help us process referrals efficiently, please include the following whenever available:
Patient full name
Date of birth
Phone number and/or email
Parent/guardian name and contact info (if patient is a minor)
Referring provider name
Reason for referral / presenting concern
Confirmation that the parent/guardian is aware of and consents to the referral

Psychotherapy
We offer individual psychotherapy for a range of mental health concerns, including (but not limited to):
Anxiety (including panic, social anxiety, generalized anxiety)
Depression
Perinatal (postpartum) anxiety and depression
Perimenopausal mental health issues
Premenstrual mental health concerns
Grief
Relationship/interpersonal concerns
OCD
PTSD / trauma-related concerns
Emotion dysregulation
Chronic pain management
Concussion / traumatic brain injury-related symptoms
Child and adolescent mental health concerns
Assessment Services
We offer comprehensive assessment services for children, adolescents, and adults, including:

Psychoeducational and Developmental Assessment
Neuropsychological Assessment

Choosing the Right Referral Type (Quick Guide)
Refer for Psychotherapy when:
The primary need is treatment/support for mental health or emotional concerns
The patient is seeking evidence-based therapy (e.g., anxiety, depression, OCD, trauma, adjustment, grief)
Refer for Psychological (Diagnostic) Assessment when:
You need diagnostic clarification regarding mental health concerns
A formal diagnostic opinion and recommendations would support treatment planning
Refer for Psychoeducational / Developmental Assessment when:
There are concerns about learning, academic functioning, ADHD, or developmental/educational needs
The goal is to clarify strengths/weaknesses and support accommodations
Refer for Neuropsychological Assessment when:
There are concerns about cognitive functioning (e.g., concussion/brain injury, stroke, medical/neurological factors)
The goal is differential diagnosis, cognitive profiling, or treatment/rehabilitation planning
If uncertain, please refer and indicate your clinical question—our intake team can guide next steps.
What Happens After a Referral Is Submitted
Referral received by our intake/administrative team
Referral reviewed for service fit and completeness
Patient/guardian contacted to discuss next steps and scheduling
Clinician/service matching based on referral needs and availability
Booking (or waitlist / alternate guidance if not the best fit)
If we require additional information to process the referral, we will contact the referring provider and/or patient (as appropriate).
Fees & Coverage (General Information)
Waterloo Psychology Group is a private practice. OHIP does not cover psychological services provided in private practice. Most services may be covered by extended health benefits, depending on the patient’s plan.
Therapy fees and assessment costs vary by service type
WPG can provide receipts for reimbursement submission
WPG does not bill insurance companies directly
